Uploading masterdata from Excel file in Telema service web

You can upload full set of data from previously prepared Excel file in Telema service web.

NB! You should use a masterdata upload form, that you can get by downloading it in Telema service web (view Downloading masterdata Excel from Telema service web).

Masterdata upload Excel gives you possibility to upload following masterdata documents:

• PRODAT - product list,
• PRICAT - price catalogue,
• PARTNER - partners list.

How to manage you masterdata in Excel:

• Open masterdata Excel form for editing
• Depending on your company settings in our system Excel document may contain a set of following sheets:
  User manual,
  • Product_groups,
  • Products,
  • Prices,
  • Partners.
• Enter required information on each page. Mandatory fields are marked with red background.

Filling "PRODUCT_GROUPS" sheet:

Following information can be describes about product groups:

• Product group code - up to 50 symbols
• Language code - two symbol language value
• Product group name - up to 500 symbols
• Parent product group code - enter the code of the group this group is a member of. In case of master group leave it empty. May containt multiple master groups.

RULES:

• Product group codes should be unique
• In case you are uploading information on sheet "PRODUCTS" at least one product group should exist
• Product group should contain at least:
  product group code
  • language code
  • product group name
• No circular references in parent product group codes are allowed
• Each product group should have a reference to parent group code, except for 1-level master groups.

Filling "PRODUCTS" sheet:

Following information can be describes about products:

• Product code - code for this product in your system;
• GTIN - unique GTIN/EAN of the product;
• Language code - 2 symbole language code stating in which language you are sending the description of the product;
• Product name - up to 500 symbols description of the product;
• Product group code - product will be shown in this group;
• Unit - base unit of product, you would like your customers to order product in;
• Package - name of a package product can be supplied in;
• Units in package - quantity of units in package;

Following fields should only be used in case your company is using only one base price list, without assigning special customer assortments and prices in Telema system:

• Base price - base price of a product;
• Discount rate - discount rate for a product;
• VAT rate
• Currency.

RULES:

• Each product description should contain at least following fields:
  • Either Product code or GTIN has to be set for the product
  • Language code
  • Product name
  • Product group code
  • Unit
• Product description should be unique
• Only product group codes should be used, that are described in product groups sheet
